OpenLine Agents (“OpenLine”, “we”, “us”) is a services company based in Miami, Florida. This policy explains how we collect, use and protect personal information when you visit openlineagents.com, contact us, use the client portal, or when we provide services to our clients.
01Information we collect
Information you give us. When you fill in a form, we collect your name, email, phone number (optional), business name, website (optional), your area of interest and your message. If you create a client portal account, we collect your name, email, password (stored as a secure hash) and the company you belong to.
Information collected automatically. Like most websites, our servers log technical data such as IP address, browser type, pages requested and dates and times. We use essential cookies to keep you signed in to the client portal and to protect forms against abuse.
Client data. When we operate an assistant or workflow for a client, we process the conversations and contact details of that client’s customers on the client’s behalf. See “Data we process for our clients” below.
02How we use information
We use personal information to answer your inquiry, schedule a diagnostic, prepare proposals, provide and support our services, operate the client portal, keep our systems secure, improve our website and comply with legal obligations.
We do not sell personal information, and we do not share it with third parties for their own marketing.
03Data we process for our clients
Our clients keep ownership of their business accounts, their approved content and their customers’ data. We act as a service provider: we process that data only to deliver and improve the service the client has contracted, following the client’s instructions and our written agreement.
When an engagement ends, the client receives a reasonable export of their data, as set out in the agreement. If you are a customer of one of our clients and want to exercise your rights, please contact that business directly; we will assist them.
04SMS and WhatsApp messages
We send SMS or WhatsApp messages only to people who have given their consent, and we follow the applicable platform policies. The assistants we operate do not send outbound messages without the client’s authorization.
You can stop receiving messages at any time by replying STOP (for SMS) or by asking us or the business that contacted you. Mobile numbers and opt-in consent are never shared with third parties for their marketing purposes.
05Service providers
We rely on carefully selected providers (processors) to run our business and deliver our services, for example website and data hosting, email delivery, AI model providers, messaging platforms such as the WhatsApp Business Platform and its solution providers, CRM tools and analytics. They may only use personal information to provide their services to us, under confidentiality and security obligations.
We may also disclose information when required by law, to protect our rights or the safety of others, or as part of a business transfer, subject to this policy.
06Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections, access limited to the people who need it, delegated access to client accounts instead of shared passwords, and an incident-response process. We never ask for passwords over unprotected text. No method of transmission or storage is completely secure, but we work to protect your information and will notify affected parties of incidents as required by law.
07Retention
We keep personal information only for as long as necessary for the purposes described in this policy, for the duration of a client engagement and its agreed export period, or as required by law.
08Your choices and rights
You can ask to access, correct or delete the personal information we hold about you, or to stop receiving communications from us. Depending on the state you live in, you may have additional rights under applicable privacy laws. We will not discriminate against you for exercising them.
09Children
Our website and services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.
10Changes to this policy
